How to make a screenshot

Sometimes it is necessary to send a screenshot. The screenshot shows everything displayed on screen at a certain point in time. This is important for support staff to reproduce what is happening. Often an image shows quicker “what the point is” than one can describe well with words.

It’s very easy to make a screenshot on a Mac, but no rocket science on a PC either. Once the image is stored locally on the computer, one can easily send it per email.

A few important notices for taking a screenshot:

  • Take a shot of the entire screen, not only a cutout. This way, the support staff can see the important URL and maybe other helpful details. A good overview is essential in the search for errors.
  • Make sure that there is no personal, sensible data to be seen on the screen, like login information or passwords.

Screenshot on a Mac

Usually, the Mac saves screenshot directly onto the desktop as a PNG file. Format and location can only be changed via Terminal.

Shortcut Action
Cmd + Shift + 3 Saves the entire screen as a file.
Cmd + Ctrl + Shift + 3 Saves the entire screen onto the (temporary) clipboard.
Cmd + Shift + 4 Saves a chosen cutout as a file.
Cmd + Ctrl + Shift + 4 Saves a chosen cutout onto the clipboard.
Cmd + Shift + 4, then space bar Saves a chosen window/element as a file.
Cmd + Ctrl + Shift + 4, then space bar Saves a chosen window/element onto the clipboard.

Screenshot on a Windows computer

Windows 8.1, Windows 10

  1. Press the Windows key + Print.
  2. The screen will be dimmed. You find the saved file in the screenshot folder (>Images >Screenshots).

Only copy a certain window:

  1. Click into the window.
  2. Press Alt + Print to make a screenshot.
  3. Paste the image of the window in any paint program.

Windows 7, Windows Vista

  1. Press the Windows key + Print.
  2. Open a drawing program (Paint, Photoshop) and paste the screenshot with Ctrl + V.
  3. Save the image.
